The purpose of analytical problem-solving reports is to provide decision
\nmakers with data to solve a very specific business problem or need for action.
\nSome problems are recurring and call for a steady flow of information; other
\nproblems might be unique and call for information on a one-time basis, focusing
\non helping decision-makers figure out a course of action to take.<\/span><\/p>\n

All reports should be true, factual and helpful. Usually a

Although the direct order is usually best for an assigned problem-solving
\nreport it would be best if your readers arrive at the conclusion and
\nrecommendation after a logical review of your analysis; therefore, you will
\norganize your report in the indirect order. Presenting the supporting data
\nbefore the recommendation prepares any resistant readers to accept your
\nsolution to the report problem\/opportunity.<\/span><\/p>\n

Planning<\/span><\/u><\/b> Phase<\/b>:<\/span><\/u> <\/span><\/p>\n

\nand define the problem and purpose. <\/span><\/b>In your
\ncompleted report, the problem and purpose statements will be an essential

\ncurate, and present the material in a new, updated and helpful manner. It is
\nfar less costly, more efficient, and requires less time to gather data from

Writing Phase:<\/span><\/u><\/b><\/span><\/p>\n

\n<\/span><\/span><\/span><\/span>Perform
\nan Audience Analysis. <\/span><\/b>Determine how to organize your
\nreport based on your audience analysis. The order of the sections in analytical
\nreports varies by likely reaction of the reader. Remember, if your audience is
\nexpected to react neutrally or positively to your message, then your conclusion
\nor recommendation should be offered near the beginning of the report. If the
\naudience is expected to react negatively to your message, then the conclusion
\nor recommendation is offered towards the end of the report (273).<\/span><\/p>\n

\nan Outline. <\/span><\/b>Writing the formal report is a
\nmuch easier task once you have created a detailed outline in the planning
\nprocess. This outline is what helps the writing move along, as you already know
\nexactly what is to be provided where and when. With a formal report, it is
\nextremely rare to see the casual phrasing that might be found in a short
\nmessage or informal report. Formal reports rarely use personal pronouns,
\ncontractions, or passive verb structures. However, this does not mean the
\nlanguage should be stilted or use excessively long words. You\u2019ll continue to
\nuse the same clarity of wording as in all business communications (274). <\/span><\/p>\n

\nshould work to ensure there are at least two reviewers who review work they
\nthemselves did not write.<\/span><\/p>\n

The final revision must consider both grammar and style issues as well as
\nrevisiting the primary purpose of the document.<\/span><\/p>\n

Research
\nReport Components<\/span><\/strong><\/span><\/h3>\n

To
\nbe able to decide which parts of a long, formal report to include in your
\nreports, you need a basic understanding of each part. This section describes
\nthe different report components represented in Module 6.0.<\/span><\/p>\n

In
\na formal report there are three major sections.<\/span><\/p>\n

1.     <\/span><\/span><\/span><\/span>The prefatory
\nor front parts<\/span><\/strong> includes sections that come prior to
\nthe report itself to establish various items such as authority of the report
\nand intended audience.<\/span><\/p>\n

2.     <\/span><\/span><\/span><\/span>The body or report
\nproper <\/span><\/strong>has many sections of key information and possible
\nIt is the meat<\/span><\/strong> of the report.<\/span><\/p>\n

3.     <\/span><\/span><\/span><\/span>The back matter or
\nappendices <\/span><\/strong>contains sections of material that support the
\nbody.<\/span><\/p>\n

Prefatory
\nParts (Front Sections)<\/span><\/i><\/strong><\/span><\/h3>\n

Title Pages<\/span><\/strong><\/span><\/h4>\n

The
\nfirst two pages of a long, formal report\u2014the title
\nfly<\/span><\/strong> and title page<\/span><\/strong>\u2014contain
\nidentification information.<\/span><\/p>\n

The title
\nfly<\/span><\/strong> is simply a page with the title of the report on it,
\nand it is included simply to give a report the more formal appearance.<\/span><\/p>\n

The title
\npage<\/span><\/strong> has more information. It typically contains the
\ntitle, identification of the reader and writer, and the date. You can point out
\nthat the title needs special care, as it will form the reader\u2019s expectations
\nfor the rest of the report.<\/span><\/p>\n

Table of Contents<\/span><\/strong><\/span><\/h4>\n

The table
\nof contents<\/span><\/strong>, of course, is a guide to the structure and
\nspecific contents of the report. If your short report goes much over five pages
\n(or 1,500 words), you might consider including a brief table
\nof contents<\/span><\/strong>. This part, of course, is a listing of the report’s
\ncontents. As Module 6.0 page 266 points out, it is
\nthe report outline in finished form, with page numbers<\/span><\/u><\/strong> to
\nindicate where the parts begin. The formatting should reflect the report’s
\nstructure, with main headings clearly differentiated from subheadings. The
\nsection titles should state each part’s contents clearly and match the report’s
\nheadings exactly. The table of contents may also include a list of
\nillustrations (or, if long, this list can stand alone). If a separate table of
\ncontents would be too formal, you can use the introduction of your report to
\nlist the topics the report will cover.<\/span><\/p>\n

Executive Summary<\/span><\/strong><\/span><\/h4>\n

The executive
\nsummary<\/span><\/strong> (sometimes given other labels) is the report in
\nminiature. It summarizes all the materials that follow in the report. This
\nsection is different from an introduction as it summarizes the entire report,
\nrather than simply introducing it or laying out the structure for the reader. A
\ngood way to approach the executive summary is to write it as if the executive
\nor decision maker will only <\/span><\/em>read this section,
\neven though that\u2019s unlikely to be the case.This section is found in longer
\nreports and is less likely to be found in a shorter report. It can also be used
\nin both informational and analytical reports.<\/span><\/p>\n

Executive summaries<\/span><\/strong> should
\nbe written after <\/span><\/strong>the entire report is completed. This
\nallows the summary to be both comprehensive and well structured. Remember, the
\ninvestigation and details of the report must be complete and validated before
\nthe summary can be written.<\/span><\/p>\n

This
\nsection is offered in paragraph format, with a paragraph summarizing each
\nsection in the report; thus, the executive summary is presented in the same
\norder as the report. The executive summary rarely includes images or graphics;
\nhowever, a table might be offered at the end of this section if the
\nrecommendation or options can be easily summarized into a table. In sales or
\nrecommendation situations, the executive summary takes on greater importance.
\nIt must clearly demonstrate that the analyses in the report are comprehensive
\nand thorough, and it must clearly lead the reader to the author\u2019s desired
\nconclusion.<\/span><\/p>\n

Most
\nimportantly, all this must be done with brevity. Most executive summaries are
\nat most two to three pages, but length varies in proportion to the complexity
\nand length of the report.<\/span><\/p>\n

The Body or
\nReport Proper<\/span><\/i><\/strong><\/span><\/h3>\n

Introduction<\/span><\/u><\/strong><\/span><\/h4>\n

The
\nintroduction is the first section of the report itself.<\/span><\/p>\n

An introduction <\/span><\/strong>sets
\nup the structure of a report. Essentially, the introduction tells the reader
\nwhat is to come and in what order, and it reminds the reader of the key
\ncriteria that instigated the report\u2019s creation. This section is key to the
\nreader following and retaining key points of the report.<\/span><\/p>\n

Introductions
\nare used in both informational and analytical reports. In an informational
\nreport, this helps segment the data that follows. In an analytical report, the
\nintroduction helps the reader come to the conclusion the author expects. An
\nintroduction is used in all informal reports as well. In an informal report,
\nthere may or may not be a separate header with this label, but an introduction
\nmust always be present.<\/span><\/p>\n

Depending
\nupon readers\u2019 expected reception of the content, the introduction may
\nforeshadow the conclusion. With receptive audiences, the outcome is clear in
\nthe introduction. With less receptive audiences, it is important to present all
\nthe facts and research prior to declaring a conclusion; thus, for less
\nrespective audiences, it may be better to foreshadow the conclusion than to
\nfully declare it. This allows the reader to end up at the same conclusion as
\nthe author as details develop.<\/span><\/p>\n

The
\nintroduction may also include the problem statement or purpose of the
\nreport. However, in longer reports, these may end up either in the background
\nor as their own sections.<\/span><\/p>\n

Historical Background<\/span><\/strong><\/span><\/h4>\n

Knowledge
\nof the history of the problem is sometimes essential to understanding the
\nreport, so you may need to cover that history in your introduction.<\/span><\/p>\n

The
\nbackground provides a baseline of the current situation and any potential
\nconstrictions such as budget, time, human resources, etc. This section explains
\nwhy the investigation or work was completed. The background <\/span><\/strong>section
\nof a report explains the circumstances that led to the report\u2019s creation. In
\nsome situations, this section may be labeled as criteria <\/span><\/strong>or constraints<\/span><\/strong>,
\nor the topic may be briefly addressed in the transmittal
\nletter <\/span><\/strong>or introduction. This section can appear in both
\ninformational and analytical reports.<\/span><\/p>\n

Your
\ngeneral aim in this part is to acquaint the readers with how the problem
\ndeveloped and what has been done about it thus far. You should bring out the
\nmain issues and then focus on the part of the problem that your report will
\naddress.<\/span><\/p>\n

Purpose or Problem Statement<\/span><\/strong><\/span><\/h4>\n

As
\nmentioned, the purpose <\/span><\/strong>or problem
\nstatement <\/span><\/strong>section may be part of the background, or it can
\nstand separately, depending upon the complexity of the report. The purpose or
\nproblem statement should be worded like this example:<\/span><\/p>\n

The
\npurpose of this report is to address [the problem or question that the
\nrequester needs addressed]. This report will accomplish this by investigating
\n[whatever you researched or developed for the report.<\/span><\/p>\n

While
\nthe example shows the proper phrasing for an analytical report, it could be
\nreworded to fit an informational report: for example, \u201cdetails from three
\nsolutions are listed.\u201d<\/span><\/p>\n

Research or Methods<\/span><\/strong><\/span><\/h4>\n

The research <\/span><\/strong>section
\n(also sometimes called methods<\/span><\/strong>) is where authors
\nestablish their credibility as they show how their perspective is supported by
\noutside experts.This section provides background on where data used in the
\nreport was found: it is not a section where data is listed.<\/span><\/em><\/span><\/p>\n

By
\ntelling your audience how you came to know what you have found out, you are
\ndemonstrating to them that your results are trustworthy and that they truly
\nhold significance. With strong methods for finding out your facts, your readers
\nwill feel comfortable and confident in making the changes your report
\nrecommends. Your data will appear later in the evaluation, <\/span><\/strong>so
\nthat the data is in the same place as the reader is learning about its meaning.
\nAdditionally, the data can be presented in full in the appendix<\/span><\/strong>.<\/span><\/p>\n

Completing
\nand sharing research comes with a set of legal issues. Pay special attention
\nModule 4: Research and follow the guidelines and rules you learn there. You\u2019ll
\nalways need to provide credit, or citation, for the information you gather from
\nothers. Lack of appropriate citation or attribution can cause legal and
\ncredibility problems.<\/span><\/p>\n

Scope<\/span><\/strong><\/span><\/h3>\n

If
\nthe scope <\/span><\/strong>of your report is not clearly
\nindicated in any of the other introductory parts, you may need to include it in
\na separate part. By scope <\/span><\/em>we mean the
\nboundaries of your investigation. In this part of the introduction\u2014in plain,
\nclear language\u2014you should describe what parts of the problem you studied and
\nwhat parts you didn\u2019t.<\/span><\/em><\/span><\/p>\n

Evaluation or Results of the Report<\/span><\/u><\/strong><\/span><\/h4>\n

This
\nshould be the bulk of your report; you must evaluate the options using the
\ncriteria you created. Add graphs, charts, etc. to show that you have studied
\nyour options, and have come up with statistics that back up your reasons why
\nyour alternative beats the competition. If your audience is likely to be
\nresistant to your recommendation, the evaluation should appear before you make
\nthe recommendation. This section is found only in analytical reports.<\/span><\/p>\n

This
\nsection should state the end results of your research and detail how you got
\nthere: how you evaluated the alternatives and, from there, you would decided
\nwhich alternative best fit your organization.<\/span><\/p>\n

The Ending of
\nthe Report<\/span><\/i><\/strong><\/span><\/h3>\n

You
\nwill end your report with a conclusions section<\/span><\/strong> and
\na recommendations section<\/span><\/strong>,.<\/span><\/p>\n

Conclusions<\/span><\/strong><\/span><\/h4>\n

Some
\nreports must do more than just present information; they must analyze it in
\nlight of the problem, and from this analysis, they must reach a conclusion or
\nconclusions.<\/span><\/p>\n

The
\nmakeup of the conclusions section varies from case to case. In investigations
\nfor which a single answer is sought (e.g., \u201cHas our new schedule reduced our
\nutility costs?\u201d), this section normally reviews the preceding information and
\nanalyses and, from this review, arrives at the answer. For more complex
\ninvestigations (e.g., \u201cHow do employees feel about the new schedule?\u201d), the
\nreport may treat each topic in a separate section and draw conclusions in each
\nsection. The conclusions section of such a report would then summarize these
\nprevious conclusions.<\/span><\/p>\n

On
\nthe other hand, you should avoid mechanically repeating the findings you\u2019ve
\nalready stated in earlier sections. Some interpretation is appropriate here.
\nPut the findings back into the context of the overall problem and help the
\nreader see what they mean in terms of the problem (e.g., why employees may have
\nresponded as they did).<\/span><\/p>\n

Recommendations<\/span><\/strong><\/span><\/h4>\n

When
\nthe goal of the report is not only to draw conclusions but also to present a
\ncourse of action, a recommendation or recommendations are in order. You may
\nprovide them in a separate section following the conclusions section, or you
\nmay include them in the conclusions section.<\/span><\/p>\n

Regardless,
\nif you have several recommendations, you may want to bullet them for easy
\nreading.<\/span><\/p>\n

Appended
\nParts<\/span><\/i><\/strong><\/span><\/h3>\n

Sometimes
\nyou will need to include an appendix<\/span><\/strong>, a bibliography<\/span><\/strong>,
\nor both at the end of the report. Whether you include these parts should be
\ndetermined by need.<\/span><\/p>\n

Works Cited<\/span><\/strong><\/span><\/h4>\n

When

The
\nappendix, as its name implies, is something appended (attached) to the main
\nreport. You use it for supplementary information that supports the body of the
\nreport.<\/span><\/p>\n

Possible
\nappendix contents are questionnaires, interview transcriptions, supporting
\ndocuments, summary tables, additional references, and other reports. Include
\nthe charts, graphs, and tables that directly support the report.<\/span><\/p>\n

These
\nshould be placed in the body of the report where they can support the findings.
\nBecause it is not convenient for readers to have to flip to the appendix to
\nfind the data they need, put in the appendix only those visuals that are too
\nlarge or complex to insert into the body of the report. <\/span><\/p>\n
